Key Challenges for HP
In December 2019, HP Inc. procured GGMS to deliver a full Move & Reinstatement project, relocating 200 members of staff, four IT Laboratories and a Customer Welcome Centre to a newly refurbished facility in Amsterdam. The office relocation was required to be a full turnkey project, with no disruption to business continuity. The reinstatement of the old site had to be completed within the week following the staff move to ensure that crucial deadlines set by their landlord were met.
Furthermore, the Customer Welcome Centre and IT Labs, which contained over 150 commercial printers, required one week to be set up within the new office space and therefore had to be moved five days prior to the HP employees.
GGMS Solutions
To provide a total service for Move & Reinstatement through a blanket management service which removed the need for HP to have to deal with multiple stakeholders.
GGMS provided a full asset audit through innovative software ‘SmartED-i®’. This provided HP with the data they needed to make key re-use decisions on assets. GGMS were also able to track, trace and report on all assets at the end of the project – providing the client with transparent visibility.
GGMS provided a detailed move pack which documented in detail what HP Employees needed to do in order to ensure successful delivery of the relocation. They were also provided with contact details to a dedicated help desk should any queries arise.
GGMS Project Manager suggested a split delivery whereby the project would be executed in two phases. Phase 1 included the relocation of all IT Laboratories and the Welcome Centre and was successfully completed over a two-day period, allowing those departments sufficient time to set up prior to staff moving in. GGMS then revisited the site three days later once staff had completed their crate packing to deliver phase 2.
As part of the project, HP delivered a clear directive that they would engage GGMS to rationalise their existing asset catalogue for redistribution either via Sale & Donation to staff/charities/Third Parties or reuse within HP Estate. Any surplus unwanted assets were to be recycled in line with GGMS Waste Policies – 0% to Landfill.
Relocation to the new office, and reinstatement of old premises ready for handover to the landlord was completed on budget and two days early.
